Terms of use
Grassroots Mgmt.
Last updated: 28 September 2026
These terms are the agreement between you and us about using Grassroots Mgmt. By creating an account you accept them. They are written to be read rather than to be survived, so if anything here is unclear, ask before you agree to it.

Who may use it
You must be 18 or over to hold an account, and you confirm that when you sign up. Children appear in the app as players, entered by their coach — they do not have logins of their own.
In a youth team, Under 18 and below, the account belongs to a parent or guardian: they get the fixtures and they answer availability on the child's behalf. In an adult team, Under 21 and above, the player holds their own account.
If you are a coach, you are responsible for the people you invite into your team and for what your team records about its players — including inviting a parent rather than the player where a squad member is under 18, whatever the team's age group says. If you are a parent, you are responsible for keeping your own account secure.
What the app is for
Running a junior football team: the squad, the diary, availability, team sheets, live match logging and the statistics that come out of them.
It is a record-keeping tool. It is not a safeguarding system, a medical record, or a substitute for your club's or your league's own procedures. Nothing in the app should be relied on where getting it wrong would matter — check a kick-off time with the other club, not only with us.
Subscriptions
A subscription belongs to a team, not to a person. One coach pays and everybody in that team — the other coaches, the parents, the players — uses the app at no further cost.
The price is £5.99 a month. Where you are outside the United Kingdom the store will show the equivalent in your own currency, and that price is the one that applies.
New subscriptions start with a 7 day free trial. The trial begins when you subscribe. Unless you cancel at least 24 hours before it ends, it becomes a paid monthly subscription automatically and the first payment is taken then. Each account is offered the free trial once.
Payment is taken by Apple or by Google, not by us. The subscription renews every month until you cancel it. Cancelling is done in your Apple account or Google account settings, not in the app — we cannot cancel it for you, and deleting the app does not cancel it.
Cancelling takes effect at the end of the period you have paid for. You keep access until then.
Refunds are the stores' to give. We do not take your money and cannot return it. If you believe you are owed a refund, ask Apple or Google. We will help where we can.
If a payment fails, the store will keep trying for a while and you keep access during that time. If it does not go through, the subscription ends.
Any coach in the team can restart it. A subscription belongs to the team rather than to the person who last paid, so if the coach who started it moves on, another can pick it up from Settings — this is what makes an off-season work.
Free access
We sometimes give a team free access for a period — while something is going wrong, or because we have asked them to try something. It is given at our discretion, for a stated period, and can end when that period does. It is not a subscription and does not renew.
What happens when a subscription ends
Nothing is deleted the moment it lapses. Your team keeps everything it has entered and everyone in it — coaches, players and parents — can still read it: the squad, the past fixtures, the results and the stats. What stops is adding to it: new fixtures, new players, availability responses, match logging and tactics. Any coach can restart the subscription from Settings, and everything is editable again the moment it is running.
Two years after a subscription ends, the team's data is deleted — the squad, the fixtures, the match records, everything the team put in — unless a coach has restarted the subscription in the meantime. Restarting it starts the two years again. The coaches are told in the app when a subscription ends, and the subscription screen shows the date it ended. Accounts are not deleted with a team: your login and any other team you are in are unaffected.
You can ask for a copy of what we hold at any time, whether or not you are paying. See the privacy notice.
What we ask of you
Use the app for running a football team, and not for anything else. In particular, please do not:
- put anything in it about a child that does not need to be there — medical details, anything about their family or background, anything you would not say to them;
- use it to bully, harass or single anybody out;
- share your login, or use somebody else's;
- try to get at data belonging to teams you are not in, or interfere with how the app works.
A coach can remove anybody from their team. We can suspend or close an account that is being used to harm somebody, and we will say why.
Your content
What your team puts into the app is your club's, and we do not claim any ownership of it. We do not sell it, use it to train anything, or show it to anybody outside your team except as the privacy notice describes.
We are the data controller for the information in the app — we decide what it can hold, how long, and who can see it — which is a different thing from owning what your team wrote. The privacy notice explains what that means for you.
We do need permission to store it and to show it to the people in your team, which is what running the app consists of. That permission ends when you delete the account or the team.
What we promise, and what we do not
We will do our best to keep the app working and your data safe, and we will tell you when something has gone wrong.
We cannot promise that it will always be available, or that it will never lose anything. It runs on other people's infrastructure and on a phone in your pocket in a field with no signal. Keep your own record of anything you cannot afford to lose.
Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else the law does not allow us to limit. Beyond that, and because this is a low-cost app sold to individuals rather than a service sold to clubs with a contract behind it, our liability to you is limited to the amount you have paid us in the twelve months before the problem arose.
If you are using the app as a consumer, you have rights under consumer law that these terms do not affect.
Changes
We may change these terms. If a change matters — the price, what the subscription includes, anything that affects what you have already paid for — we will tell you in the app or by email before it takes effect, and you will have the chance to cancel.
We may change or remove features. We will not remove something you are paying for without telling you first.
Ending it
You can stop at any time: cancel the subscription in your store account, and delete your account in Settings if you want the data gone as well.
We can end your access if you break these terms, or if we stop offering the app altogether. If we stop offering it we will give you at least 30 days' notice and a way to take your data with you, and we will refund any part of a subscription you have paid for and cannot use.
Law
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction. If you live elsewhere in the UK you can also bring a claim in your own courts.
